Document Coordinator

Hydro-Dyne Engineering is looking for a Document Coordinator based in Clearwater, Florida. This position requires someone willing to learn and understand our products. HDE designs and manufactures a highly specialized proprietary product line servicing municipal and industrial water treatment facilities around the world. Position Summary: Ensures the control, security, integrity, and availability of all controlled documentation under the scope of the Quality Management System; prepares content for Submittals, Operations and Maintenance Manuals, and other procedures as identified; processes changes in support of all business needs ensuring compliance to Quality System guidelines.

 

Responsibilities

  • Processes change requests, change orders, and deviations efficiently and timely
  • Edits and proofreads changes and documents for consistency of document format and adherence to internal Quality System processes and procedures 
  • Performs and coordinates activities that support operations and quality of procedural documents
  • Labels, organizes and tracks the flow of documents 
  • Performs internal audits to check compliance with quality procedures 
  • Assists the external Auditors throughout the auditing process
  • Performs annual reviews of released technical documents and makes changes as required
  • Scans, images, organizes and maintains documents adhering to Company document control procedures
  • Updates existing submittal and O&M manual documents to latest revisions
  • Adheres to deadlines given and ensures good quality content
  • Keeps department organized to maintain a clean and safe work environment
  • Performs all other duties as directed by Management

Qualifications

  • High school diploma or equivalent
  • College education in a business-related field preferred
  • Proficient in MS Office suite including Excel, Word and Outlook
  • Able to write in explanatory and procedural styles for multiple audiences
  • Must be efficient in reviewing and editing technical documents
  • Extreme attention to detail and documentation
  • Must have good time management skills
  • Skilled at prioritization and multi-tasking
  • Able to adapt to changes in the work environment and deal with frequent change, delays or unexpected events
  • Self-motivated, comfortable working independently, or as part of the team
  • Excellent team member; driven to contribute to the team effort
  • Consistently at work and on time (or notifies if late or absent prior to being late or absent), follows instructions, responds to management direction
  • Willingness to learn and seek out new skills
  • Respect for the Company’s resources; treat company equipment, funds, time and co‐workers with respect

Position Comp/Hours

  • This is a salary non-exempt position. Starting salary will be commensurate with experience and abilities.
  • Standard hours are 8:00am-5:00pm for the office and 6:30am-3:30am for the warehouse. Flexible and hybrid schedules may be available.
